  • Buying Back-office Intern

    Company Description

The core business of Take Off is buying inventory from world-renowned fashion brands to give it a second chance, distributing it through traditional and digital sales channels.

    We are looking for a motivated Buying back-office Intern to join our dynamic team.

    Job brief

    As a Buying Back Office Intern, based in the buying department at Take Off, you will provide essential support to the Buying Account team. In collaboration with the Buying Account team, you will assist in overseeing orders and managing post-purchase processes. You will work together on a designated supplier portfolio, ensuring the smooth progression of each order from confirmation through to payment.

    Main Responsibilities

    Order Management:

    ● Enter in the ERP Purchase orders of relevant suppliers upon order confirmation.
    ● Instruct suppliers on purchase orders’ preparation requirements: invoices, packing lists, and specific documentation.
    ● Manage master data of company’s items.
    ● Check the accuracy of relevant data among commercial deals, purchase orders, and final delivery documents (invoice and packing list).
    ● Liaise with other departments (finance, sales, supply chain).
    ● Support in managing discrepancies of supplies as per company’s procedure.
    ● Store and update all legal documentation (authorizations and certifications) from brands’ principals.

    Coordination and Reporting:

    ● Coordination and follow up on order confirmation discrepancies with Back Office.
    ● Coordination and follow up on master data with the Back office.
    ● Coordination and follow up on packing list upload with the Inbound team.
    ● Coordination and follow up on payments with Administration.

    Requirements:

    ● New graduate or currently pursuing a degree in economy, or related field.
    ● Knowledge of technology and systems, as well as Office suite (Excel).
    ● Good organizational and time management skills.
    ● Proactive and problem-solving approach.
    ● Attention to detail and commitment to producing high-quality work.
    ● Fluent in both Italian and English.
    ● Enthusiasm to learn and work as part of a team.

  • Sales Account

    We are presently seeking an energetic and experienced Sales Account to create, develop, and maintain long-term, trust-based relationships with new and existing customers, ensuring strategic and sales objectives are met. In this sense, availability to travel is required. Beyond the commercial flair, the role requires analytical abilities to produce meaningful sales reports and insights, and coordination skills to effectively liaise with cross-functional teams to meet customers’ expectations and improve their overall experience and engagement. The role is based in Malta.

    Responsibilities

    In a context of strong growth and a fast-paced environment, your main responsibilities will be:

    ● Managing sales by developing a business plan that covers sales, revenue, and expense control.
    ● Establish sales objectives by forecasting and developing annual sales quotas for regions and territories.
    ● Break down challenging Sales goals into actionable Sales plans per assigned account and/or areas.
    ● Develop and implement new sales initiatives, strategies, and programs to capture key demographics.
    ● Promoting the organization and products.
    ● Search and attract new clients.
    ● Identify growth and new business opportunities within the assigned accounts and/or areas.
    ● Negotiating and preparing commercial offers.
    ● Meetings with clients through business trips.
    ● Conclusion of contracts, work with accompanying documentation.
    ● Accomplish timely execution of Sales plan, negotiate contracts, and close agreements to meet strategic and sales objectives.
    ● Expedite internally/externally and coordinate with the internal Order Management and Customer Care dept. as required to ensure timely deliveries.
    ● Act as the focal point for account-related issues, monitor customer claims and ensure problem resolution.
    ● Establish and maintain long-lasting customer relationships based on a defined strategy.
    ● Develop, maintain, and share detailed knowledge of the customer’s business strategy, purchasing behavior, organization, decision-makers, customer business drivers, economic trends, and competition.
    ● Keep track of Sales metrics, communicate Sales plan execution results and, in case, formulate corrective action plans to meet Sales goals.
    ● Tracking sales goals and reporting results as necessary.
    ● Carry out other assignments and tasks appointed by the head of the sales department.

    Requirements (must have)

    ● Proven work experience as Sales Manager, Account Manager, Buying manager, or a relevant role
    ● Experience in wholesale (not retail)
    ● Experience in the fashion industry
    ● Excellent listening, negotiation, and presentation abilities
    ● Strong verbal and written communication skills
    ● Solid experience with CRM software and MS Office (particularly MS Excel)
    ● Demonstrable ability to communicate, present, and influence key stakeholders at all levels of an organization, including executive and C-level

    ● Good knowledge of English
    ● Relocation in Malta

    Plus (nice to have)

    ● Master’s degree in Business Administration, Economics, Sales, or relevant field
    ● Experience in medium to large companies
    ● Experience in off-price market
    ● International experience
    ● Knowledge of methodologies, techniques, tools, and applications of data analysis and performance metrics management

  4. Finally, you will meet the managing director for a clearer overview of our company as well as introducing yourself to the C-level.
